Hands retiring temporary CSV exports after an analytics task

DECISION

Delete temporary exports according to a defined trigger

Temporary exports should not become permanent shadow datasets. Tie retirement to the task, report refresh, case closure or approved retention schedule. Check downloads, email, chats, notebooks, cloud sync, version history, backups and removable media before claiming completion.

Lifecycle scenarioA weekly operations export is superseded every Monday. The team retains the validated source report in the system of record, deletes the temporary CSV after the reconciliation window and records exceptions for an active investigation rather than keeping every weekly copy.
PROCEDURE

Control every copy and transition

  1. 01Name the event that ends the export’s business purpose.
  2. 02Check for holds, investigations and approved retention obligations.
  3. 03Inventory primary, synchronized, emailed, cached and backed-up copies.
  4. 04Approve deletion or archive transition with the data owner.
  5. 05Use a media-appropriate sanitization process when devices are reused or disposed.
RECORD

Keep evidence without duplicating the data

Record trigger, owner, export range, systems checked, exception or hold, disposition method, completion evidence and next review without reproducing the dataset.

Stop and investigate when

  • Exports remain forever because storage is inexpensive.
  • Deletion proceeds despite an active case or required hold.
  • Emptying trash is claimed to sanitize every underlying medium.
BOUNDARY

Protection lives outside the CSV format

CSV has no password field; product safeguards stored exports, not in-app CSV encryption or SaaS settings. Validate source permissions, destination controls, derived files and plaintext residue separately.

QUESTIONS

CSV protection questions

Is deleting the CSV enough?

Only if all relevant copies, versions and backups are addressed according to policy.

Does an encrypted container remove retention duties?

No. Encryption reduces some exposure but does not decide how long data should exist.
